How we use your information – trainees and partners
Under data protection law, individuals have a right to be informed about how HTTP (Havering Teacher Training Partnership) uses any personal data that we hold about them. We comply with this right by providing ‘privacy notices’ to individuals where we are processing their personal data.
This privacy notice explains how we collect, store and use personal data about individuals we employ, or otherwise engage, to work with us.
We, the Havering Teacher Training Partnership, are the ‘data controller’ for the purposes of data protection law.
The Havering Teacher Training Partnership works with 16 secondary schools to provide teacher training. Our accreditation is held by the University of East London.
Our lead school is Hall Mead School.
To apply to our course, you must apply via UCAS to one of our course codes. When you apply using a Havering Teacher Training course code, you are applying directly to us as the training provider for SCITT training, these are known as our ‘core places’ and you are providing your data directly to us. For school direct, you are making an application to the lead school and your data is shared with us to enable us to progress your application. The Havering Teacher Training Partnership holds logins for all training courses and provides the administration for all applications.
Both the Havering Teacher Training Partnership and all of our schools understand and respect the importance of keeping personal data secure and fully comply with the GDPR. Data is held securely by way of secure systems, including physical and electronic security, access control, passwords and regular audits and checks.
The personal data we hold
We process data relating to those we employ, engage as trainees or otherwise engage, to work with or at our teacher training provision. Personal data that we may collect, use, store and share (when appropriate) about you includes, but is not restricted to:
Date of birth, marital status and gender
Next of kin and emergency contact numbers
Salary, annual leave, pension and benefits information
Bank account details, payroll records, National Insurance number and tax status information
Recruitment information, including copies of right to work documentation, references and other information included in a CV, cover letter or as part of the UCAS application process
Qualifications and employment records, including work history, job titles, working hours, training records and professional memberships
Outcomes of any disciplinary and/or grievance procedures
Copy of driving licence
Data about your use of the school’s information and communications system
We may also collect, store and use information about you that falls into "special categories" of more sensitive personal data. This includes information about (where applicable):
Race, ethnicity, religious beliefs, sexual orientation and political opinions
Trade union membership
Health, including any medical conditions, and sickness records
The Havering Teacher Training Partnership uses Microsoft Office packages for the purpose of the administration, day to day running and management of our course. We use Microsoft Office to hold and process data to enable us to deliver the course and undertake all of our legal and administrative duties. Google Drive is a cloud-based system provided by Google. Microsoft & Google are fully comply with the GDPR and have adequate systems in place.
Why we use your data?
The purpose of processing personal data is to help us run our provision, including to:
Register trainee teachers (and generate unique Teacher Reference Numbers) on the DfE Trainee Teacher Portal
Ensure compliance with the DfE ITT compliance criteria
Complete DfE grant audit assurance processes including external audit and annual certification of expenditure and any sampling carried out as part of the funding stream
Enable trainees to be paid a salary or possible bursary/scholarship depending on programme and eligibility
Facilitate safe recruitment, as part of our safeguarding obligations towards pupils and partner schools
Support effective performance management
Inform our recruitment and retention policies
Allow better financial modelling and planning
Enable equalities monitoring
Improve the management of workforce/trainee data across the sector
Support the work of the teaching school alliance
Our lawful basis for using this data
We only collect and use personal information about you when the law allows us to. Most commonly, we use it where we need to:
Fulfil a contract we have entered into with you
Comply with a legal obligation
Carry out a task in the public interest
Less commonly, we may also use personal information about you where:
You have given us consent to use it in a certain way
We need to protect your vital interests (or someone else’s interests)
Where you have provided us with consent to use your data, you may withdraw this consent at any time. We will make this clear when requesting your consent, and explain how you go about withdrawing consent if you wish to do so.
Some of the reasons listed above for collecting and using personal information about you overlap, and there may be several grounds which justify our use of your data.

While the majority of information we collect from you is mandatory, there is some information that you can choose whether or not to provide to us.
Whenever we seek to collect information from you, we make it clear whether you must provide this information (and if so, what the possible consequences are of not complying), or whether you have a choice.
